There’s something so special about getting engaged in Northern Virginia. Maybe you’re picturing a garden celebration in Loudoun County, an intimate gathering in Old Town Alexandria, or a refined ballroom wedding just outside Washington, D.C. Wherever your vision lands, one thing is always true:

The planning process can feel like…a lot.

As a Northern Virginia wedding planner, I walk couples through this season again and again. I see the emails, the spreadsheets, the late-night “did we forget something?” thoughts—and I also see the joy and ease that comes when there’s a clear plan and a trusted guide.

If you’re newly engaged (or ready to finally get organized), here are my top five planning tips to keep you grounded, confident, and actually excited about your wedding day.

Before you make a single decision about flowers, color palettes, or venues, pause and ask: What do we want our marriage to feel like? How do we want our wedding day to feel for us and for our guests?

Your answers might sound like:

• Joyful and relaxed
• Classic with a modern twist
• Family-centered and full of connection

Write those words down. They become the filter for everything else.

When you start with your marriage and the feeling you want to create, you’re no longer planning a day just to impress people or check boxes. You’re making decisions that are rooted in what matters most to you as a couple.

As a wedding planner in Northern Virginia, this is where I begin with every full-planning client: we talk about your relationship, your story, and your priorities before we ever talk about chair styles or linen colors. The logistics are so much easier when your “why” is clear.

2. Set a realistic budget for the Northern Virginia & D.C. area

The Northern Virginia and D.C. region is a beautiful place to get married—but it’s also a higher-cost market. One of the kindest things you can do for yourselves is to set a realistic budget early and let that budget guide your decisions.

A few things to keep in mind:

• Guest count drives cost. Every guest impacts your catering, rentals, bar package, stationery, and more. If your budget feels tight, reducing your guest list is often more effective than cutting corners across the board.
• Venues and catering are major investments. Many Northern Virginia venues have food and beverage minimums or specific catering requirements. Before you fall in love with a space, make sure you understand the full picture—including service charges, taxes, and rental add-ons.
• Prioritize where you’ll feel it most. Decide where you care most about investing (photography, floral design, live music, etc.), and where you’re comfortable simplifying.

• How many rentals you’ll need (tables, chairs, linens, flatware, glassware)

In Northern Virginia, popular venues and prime dates (especially spring and fall) book up quickly. Once you have:

• A realistic budget
• A tentative guest count
• A general season or date range

…you’re ready to start touring venues!

As you tour, bring your earlier “how we want it to feel” words back out. Ask yourself: Does this space support that feeling? A venue that aligns with your priorities will naturally narrow down your design and vendor choices in a good way.

4. Build a trusted vendor team early

Your vendor team is the group of people who will carry your vision from ideas to reality. The sooner you secure your key vendors, the more options you’ll have—and the smoother the entire experience will feel.

In most cases, I recommend booking in roughly this order:

• Wedding planner (yes, truly)
• Venue
• Caterer (if not included with the venue)
• Photographer & videographer
• Florist & design team
• DJ or band
• Secondary vendors (hair & makeup, cake, stationery, transportation, etc.)

5. Protect your wedding day with a thoughtful timeline (and clear delegation)

You deserve to wake up on your wedding day feeling calm, present, and excited—not like the project manager of a large event.

A few ways to protect that feeling:

• Create a realistic, detailed timeline. Build in buffer time for hair and makeup, travel, family photos, and little moments of rest. Things always take a bit longer than you expect, and extra breathing room keeps everything on track.
• Delegate everything you can. You should not be answering vendor questions, setting out escort cards, or managing final payments on your wedding day. That’s what your planner and vendor team are there for.
• Communicate clearly ahead of time. Share your timeline with the wedding party, family, and key vendors so everyone knows where to be and when.

This is where having a planner or at least a month-of coordinator makes an enormous difference. My couples often tell me that knowing someone is watching the clock, managing the details, and quietly solving any issues in the background allowed them to actually enjoy the day they worked so hard to plan.
